If a customer has specific seating preferences, such as a window seat, a corner table, or a private room, the restaurant may need to manually assign the table for the particular reservation. You can do the assignment directly through the inline Application by assigning the table number for the booking. If your branch has enabled the Auto-assign table feature, the system will automatically assign a suitable table when the reservation is created. However, you can still manually adjust or reassign the table after the system has made its automatic assignment. If you would like to assign or adjust the table manually, please refer to the following steps and modify on iPad App:
1. Find the reservation you would like to assign the table manually and tap the Table No. to assign the table.
2. Select the table you want to assign, available tables are indicated with a white background. To change an the table which is already assigned, tap the new table first, then tap the original table once again to reset it to white background.
3. After confirming the changes, tap any blank area to save the changes.
When manually assigning tables, the system uses colors and labels to help you quickly identify the status and settings of each table:
- Table No. format: Table name + maximum capacity, for example: A1 (4)
-
Color indicator
- 🟠 White text with orange background: Indicates a table that is currently selected.
- ⚪️ Black text with white background: Indicates a table that is not selected and available for use.
- ⚫️ White text with gray background: Indicates a table that cannot be used during this time slot. ( The table is already occupied by another reservation during this time slot )
-
Label indicator
- “Online Avail.” the orange label at the top: Indicates that the table is available for customers to make online reservations.
- Table tag at the bottom: Displays any table tags that have been preset in the “Table Settings”, such as “Outdoor”, “Indoor”, or “Private Room”.
Please Note:
- Once the table number of the reservation has been manually adjusted, it will no longer be affected by the automatic table assignment, even if new reservations are created or deleted, triggering a system-wide reallocation. This ensures that your manual table settings remain unchanged and are not automatically overwritten by the system.
-
As manual table adjustments by the restaurant have the highest level of authority, the system allows you to assign a reservation to the table that may not fully match the party size.
For example, if you assign a 4 pax reservation to a 2 pax table, the system will treat the reservation as occupying only 2 seats and will not block the remaining two seats on other tables.
-
The system checks both whether the time slot is available and whether the table is open, only when both conditions are met will online reservations be allowed.
If you manually assign an online reservation to a table that is not open for online booking, the system will treat the online-bookable table as available and may consider it as still open for reservations. This could potentially result in overbooking.
Therefore, it is recommended to manually assign online reservations only to tables that are open for online booking. Alternatively, after manually adjusting the table assignment, please close certain tables under Booking Mgt. to prevent overbooking.
- We recommend enabling the Automatic Table Assignment feature, allowing the system to automatically assign the most suitable table for each reservation: 👉 How to Enable the Auto Table Assignment Feature?
